The Spaces page is where both staff users and client users can collaborate by creating individual spaces with customized permissions for members. Each space includes a files section, where users can upload, download, and preview files within organized folders. There's also a chat functionality that allows for real time communication among space members. Additionally, the settings section of each space provides various configuration options, such as managing member access, adjusting permissions for file downloads or edits, and enabling or disabling chat features.


Setup

The initial trial setup includes your first Space, called "Your Spaces", where the trial creator is the only member.

Files

After logging in, click the "Files" button on the left drawer. This brings you to a file viewer. Here you can drag and drop, or use the "Upload" button to add files. You can share one or many files at once (just select as many files as you need and drag them over the file viewer). The status of your file upload will be visible on the bottom right of your screen.

Chat

The Chat tab is included for every space that allows all member of a space to communicate. Chat can be further customized in the "Settings" of the Space.

Settings

The Settings tab provides an overview of the Space's Members, Notification settings for the particular Space, Access Controls, and Management.

Members

  • Edit Members: Add or edit members to a space

Notifications

  • Email Notifications: Members will be notified via email when there is an unread chat message or file. Default is on.
  • Read Receipts: Senders will be notified when their chat messages have been read. Default is on.
  • Send Email Broadcast: Send a notification email to members of this Space. Templates that are found in this pop up can be customized in the "Org" page under "Edit Email Templates"
  • View Email Broadcast History: View which email broadcasts have been sent for this Space.

Access Controls

  • Archive space: Makes the space read-only (both files and chat). Default is Off.
  • Allow Clients to Add and Edit Files: If enabled, clients are able to upload, delete and edit files. Default is on.
  • Allow Clients to Download: If enabled, clients are able to download files. Default is on.
  • Allow Clients to Chat: If enabled, clients are able to send chat messages. Default is on.
  • Allow Clients to See Members: If enabled, clients are able to see the members in this space. Default is on.

Management

  • Enable Chat: Show the chat tab and enable secure messages.
  • Delete Space: Deletes the Space from all users.
  • Stats: See the amount of data a Space takes up in storage


Creating New Spaces

You will want to create new spaces for your client and staff interactions. It's important to note the different ways to create new spaces and identify which option might be the most efficient for your organization. There are several ways to create Spaces.

  1. Manual: Navigate to "Spaces", click the "+" button, define the name for the space, add clients/groups, and click "Save"
  2. Inviting Clients: Navigate to "Clients", click "Invite Client", fill in client information, and select "Make Default Space" which creates a Space for that specific user and all staff member accounts.
  3. Adding Groups: Navigate to "Groups", click "Add Group", fill in Name and Member fields, and click "Save" which creates a Space for that group and all staff member accounts.


Apps Customization

The "Spaces" Menu item can also be customized with different logos and text.

  1. Navigate to "Org" and click to "Edit Foyer Apps"
  2. On the "Apps" page you can,
    1. Move the order in which "Spaces" page appears for all users by clicking the two horizontal lines beside the "Spaces" box
    2. Click the vertical ellipsis and click "Edit App" to change the icon and label text as it appears to all users.
